What is Sasta?

Sasta is a small web application created to help manage attendance and apologies at Rotary Club meetings.

Who runs Sasta?

Steve Root, I'm just a regular person with a penchant for writing code that hopefully is useful for others. You can contact me by email at apps@sroot.eu. I don't charge any fees for you to use Sasta and I don't make any money from Sasta. I offer no guarantees or waranty that Sasta will do what I intended it to do or that it will do what you expect it to do.

What personal data is collected?

Data you provide for Sasta to function for you will include

  • your name
  • email address
  • responses you make about your meeting attendance
  • events you create or respond to

This data is shared with members of your club (including by emailed reports and reminders) and myself as the web site operator/database administrator (eg: data like if you are attending a meeting or not, if you respond to and event, and so on).

What about cookies?

A cookie is set when you login to identify you to the server. This is required, otherwise the server won't know who you are.

There are no third party advertising or analytics cookies set - I don't need to know how many times each web page has been viewed. :-)

You can disable/reject cookies in your browser preferences but the app probably won't work for you if you do this.

What about server logs?

The server logs each request. The log includes the IP address of the device making a request. If I try hard I could probably match that to your user account but that's not very useful. Often users connect from several different IP addresses depending on their location and device. In this respect, the IP address is not personal data for the purposes of Sasta. If you have read that an IP address is considered personal data, that would be where large companies are merging data sets to identify an individual from indicators including an IP address.

How long is data kept?

I have no set rule at the moment for how long I keep entries in the database. Whilst I've an interest in how data collected over a period of time can be useful to learn from (club attendance, which day/time is better attended on average) please don't plan on me keeping the data long enough to do that. I might purge the database at any time. Also if a member leaves when their account is deleted it will likely delete all related entries (meetings and events they responded too). For a useful dataset you'd have to rebuild the dataset from confirmation emails if you keep those.

What about GDPR?

GDPR does not apply to personal non commercial web sites like this, however if it did, all data processing here would be covered by Legitimate Interest.

In addition, I'm a real person with no beurocracy. If you're curious enough to want a copy of all of your responses you've ever entered into Sasta (assuming I've not purged them - see above) then it will only take me a couple of minutes to write a database query and email that to you
